It’s very common in the trading world that most customers and companies do business on credit which means the customer or buyer receives the goods and items first and then the company sends a detailed document to him mentioning the price of each item and the total amount he owes to the supplier. This document is called a Sales Invoice and it serves a very important purpose in the business world. You should understand that if someone owes you some money, you can’t just ask him about the money on the telephone but you have to go through proper paperwork and implement all legal channels just to make sure you don’t make any mistake.

Purpose and uses of Sales Invoices:
As discussed above, companies do business on credit all the time. In this situation, the customer reaches out to a supplier, confirms an order, and makes a small transaction as advance payment. After that, it’s up to the supplier when he delivers the required goods or services to the client and once they are delivered, the supplier has the legal right to ask for money against the sales. For asking for the money, a Sales Invoice is used by the suppliers. This document includes necessary information and explains the legal terms and conditions for the payment to the customer or buyer. If the buyer denies or fails to make the payment on time, the supplier can also use the invoice to file a case against him and include legal authorities in the dispute.
Key elements to include in the Sales Invoice:
- Name of the company and supplier along with complete address and contact number
- Name of the buyer or client who received the order i.e. goods or services
- The date on which the supplier is preparing the invoice
- Reference number of the invoice for record purposes
- The date on which the buyer ordered the goods and the date on which he received them
- Details of the price of each unit and the total price owed by the client
- Details of advance payment, discount offered by the supplier, and balance amount owed by the buyer
- Terms and conditions of making the payment i.e. least amount, method of payment i.e. cash or check
- Signature of the supplier along with full name
Guidelines to create a Sales Invoice:
- Start with putting your company’s name on the top of the invoice along with the trademark and complete address and phone number of the office
- Then, mention the name of the buyer or customer who you are contacting with the sales invoice.
- Mention the particulars of the sales invoice very carefully including the date of preparation, reference number, reference number of the order placed by the customer, and date on which he placed the order. With this, you have completed the first part of the invoice and after this, it’s time to focus on the body of the invoice.
- The body of a Sales Invoice includes details of the order, goods or products ordered by the customer, items or services delivered to him, and the date on which the supplier completed the delivery. This part also includes the price of each item, the number of units purchased by the customer, discounts offered by the vendor, and the total amount the customer owes to the vendor. If you pay sales tax on your revenue, you should also mention it and include it in the invoice.
- Advise the customer about the payment i.e. when he is asked to make the payment and the duration in which he is required to contact the supplier and verify there is no mistake in the delivery. For business purposes, the supplier can also mention and explain the method of payment i.e. check, credit card, or cash.
