The Payment Voucher Generator is a free, browser-based tool for instantly creating professional payment vouchers — no design software or accounting knowledge required. Simply fill in your company details, payee information, and itemized payment amounts, and watch a fully formatted voucher build itself in real time, complete with an automatic amount-in-words conversion, a running total, and ready-to-sign Prepared By / Approved By / Received By lines. Choose from six letterhead-friendly designs, add your own company logo, and print or save the finished voucher as a PDF in one click — all directly in your browser, with nothing ever uploaded to a server.

Quick Guide – How to use Payment Voucher Maker

1. Add your company details

Under Company Information, enter your company name, address, and contact details. If you have a logo, upload it under Branding — it’s processed entirely in your browser and is never sent anywhere, so it stays private. If you print onto pre-printed letterhead paper, check “Leave space at top for pre-printed letterhead” and set how much space (in inches) to reserve at the top of the page.

2. Fill in the voucher info

Under Voucher Info, you’ll see:

  • Voucher No. — auto-generated for you, but fully editable if you use your own numbering system.
  • Date — defaults to today.
  • Payment Mode — Cash, Cheque, Bank Transfer, or Online Transfer. If you pick anything other than Cash, a Reference No. field appears automatically for the cheque or transaction number.
  • Paid Through / Account — optional, useful if you want to note which bank account or till the payment came from.

3. Add payee details

Under Payee Information, enter who the payment is being made to, and their address if relevant.

4. Add payment items

Under Payment Items:

  • Set your Currency Symbol (e.g. Rs., $, PKR) and Currency (in words) (e.g. Rupees, Dollars) — these control how amounts are displayed and spelled out.
  • Add one row per item using + Add Line, entering a description and amount for each. Remove a row with the × button.
  • The Total updates automatically as you type, and the live preview on the right shows the same total plus the amount spelled out in words — so there’s no manual math and no risk of a typo between the numeral and the written amount.

5. Add the purpose and signatures

Use Payment For to briefly note what the payment covers (e.g. “Office supplies, invoice #4521”) — this is optional and only appears on the voucher if filled in. Under Signatures, you can optionally type in names for Prepared By, Approved By, and Received By; the signature lines themselves always appear on the printed voucher regardless, ready for a physical signature.

6. Choose a design
Above the preview, scroll through the six available designs and click one to apply it instantly:

  • Classic Ledger and Modern Bold — clean, no outer border, ideal for letterhead paper.
  • Minimal Compact and Stamped Official — also borderless, more compact or with a colored side accent.
  • Formal Bordered and Boxed Ledger — the two designs with a full printed border, better suited to plain paper rather than letterhead.

7. Print or save as PDF

Click 🖨️ Print / Save as PDF at the top. Your browser’s print dialog will open with only the voucher itself on the page — no site header, sidebar, or extra blank pages. Choose your printer, or choose “Save as PDF” (available in most browsers) to download it instead.

8. Starting over

Click Reset to clear all fields, generate a fresh voucher number and today’s date, remove the logo, and return to the default design — handy when you’re ready to create the next voucher.

Tip: Every keystroke updates the preview instantly, so you can proof the voucher — check the total, the wording, the layout — before you print, with no separate “generate” step needed.
