Once an employee successfully completes their probation period, the Employee Confirmation Letter Generator helps you formalize that milestone with a professional letter confirming their permanent status. It covers the probation start date, confirmation date, and — if the role comes with a pay adjustment — the new compensation, all wrapped in a letterhead design that matches your company’s branding. It’s a quick, polished way to mark the moment an employee officially becomes part of the team.

How to Use This Tool?

1. Add your branding (optional).
Upload your company logo, which stays in your browser and appears in the letter header — nothing is sent to a server. If you print on physical letterhead instead, check “Leave space at top for pre-printed letterhead” and set the height to reserve.

2. Fill in your company information.
Company name, address, and contact details. The date defaults to today, and a reference number is generated automatically (both editable).

3. Enter the employee’s details.
Add their name, employee ID (optional), job title, and department (optional). Then set the probation start date (optional) and the confirmation date — the date their permanent status takes effect.

4. Choose a wording style.
Standard, Detailed/Formal, or Concise — each rewrites the actual confirmation announcement to match the tone you want.

5. Add revised compensation (optional).
If confirmation comes with a pay adjustment, check “Include revised compensation” and enter the new amount and frequency. Leave it unchecked and no salary information appears anywhere in the letter.

6. Pick a letterhead design.
Six options sit in a scrollable row above the live preview — Classic Corporate, Modern Bold, Minimal Executive, Traditional Formal, Sidebar Accent, and Two-Tone Block. Click any one and the preview updates instantly.

7. Fill in who’s issuing the letter and any extra notes.
Add the issuer’s name and title (typically HR or the employee’s manager), plus anything else you’d like mentioned.

8. Check the live preview as you go.
The letter updates in real time on the right. Anything left blank simply won’t appear — there’s no bracketed placeholder text left over in a printed copy.

9. Print or save as a PDF.
The “Print / Save as PDF” button sits in the top-right toolbar. Clicking it opens your browser’s print dialog — pick your printer for a hard copy, or “Save as PDF” for a digital file. The letter prints cleanly on its own page, without your site’s header, footer, or any blank extra pages.

10. Reset for the next employee.
The “Reset” button clears every field, removes the uploaded logo, and returns the design to default, ready for the next confirmation letter.
