It’s somehow clear from the title that an Executive Summary is prepared for the upper-level management and executives of the company including the CEO, CFO, COO, and partners or owners. Directors of a company or organization are also included in this list. When we talk about any company, the reviews that it gets back from the customers and clients, are very important. Companies take these notes, queries, and criticism very seriously that they get from the customers and clients. The customer services department is responsible to handle all the queries and prepare reports based on what customers said about the products or services and how they reacted to the faults and complaints. For lower-level management and general employees, a detailed version of the report is created whereas, on the other hand, a short version is also included with the report that is only for the executive employees and top management of the company.
Key Role and Purpose of preparing this Summary:
If you work in a company, you will think that you are the one who does all the work along with other employees, and the top management, especially the directors and partners are just sitting there to watch what’s happening in the company but it’s not true. CEOs and directors have more important and bigger picture stuff to focus on and they usually don’t have time for reading about regular stuff i.e. how much time employees spend in breaks and what kind of stuff they search online. The same thing happens with the reports and presentations. Whenever such high-level executives are asked to review or evaluate a report i.e. about the customer support services, they ask for a short and more brief version of the report. For saving their time and making sure they get the key idea from a short paragraph, the Executive Summary is prepared along with the full-length report.
Guidelines to write an Executive Summary for Customer Support Services:
- Starting with the most obvious thing; reviewing the full version of the report is the first thing that you need to do before writing this executive summary. If you can’t understand what’s the key essence of the full report and the results that the conclusion presents, you can’t write a short or brief part of it. For this purpose, read the full report and take notes of important points and then combine them in the summary.
- Make sure that when you are making the minutes of a report, you only add what’s important for the upper-level management to know and think about. There shouldn’t be anything that is not as important as other parts of the report and in the same manner, you should not have left out the important stuff that you were required to present to the executive management.
- Bullet points and headings are easier to look at and understand. When you know you have to attend another meeting within 30 minutes, you can’t review a long report with lengthy paragraphs in it and understand it in seconds. For this purpose, you should prepare the report with more bullet points and whenever there is a need for a small paragraph, make sure to put a proper title on it so it’s easier to get the idea about it.
