Some companies only prepare annual sales reports but most of the time, quarterly sales reports are prepared and presented in the meetings.   • Understand the key purpose of preparing this report before starting to work on it. You are making this report to show the progress of the sales department and present the numbers in front of the executive employees or partners of the company and the report should reflect such format.
  • Use more numbers and fewer words in the report. As this is a sales report, there should be more talk and discussion about the sales numbers and figures rather than just describing what’s not as important as the numbers.

  • If you are also going to include suggestions or recommendations about the present or past sales figures of the company, it is better to keep them at the end of the report. Mark each category with a clear and bold heading so the reader can evaluate the paragraph with the heading.
  • If you are talking about the overall progress of the company in the future, it is okay to use words like maybe or probably but when it’s about the sales, there are numbers to talk about and the good thing about numbers and figures is that there is no confusion or chance of probability in them.

Common Mistakes When Writing Executive Summary

The purpose of writing your executive summary report should be clear and cleanly understandable by the Executive or reader. If the purpose is not clear it would make the summary ambiguous and complex. Try to stick with the purpose of the summary, and don’t lack concentration. Clarity is most important if the message is not conveyed to the reader then the purpose of writing the summary is just wasted. Writing an Executive Summary is a critical task and must be given proper attention to get the maximum benefit out of it.

  • Some writers include too much information even if it is not required. Avoid long wordings this can increase the length of the summary. The reader would not be having much time to read it. Don’t use too many pages, try to use the 10% proportionate formula and keep your summary to 10 % of the original report.
  • Keep your target audience in mind. Some writers forget about the audience when writing summaries, so this could create great difficulty for the reader to understand the main purpose. By keeping the reader in mind you would be writing in the same way in which your target audience could understand you.
  • If the writer fails to build interest, then the summary will not get much attention from the reader, and it might be a just page for him having no attraction at all. Make your words speak; write the wording in such an awesome way that your reader feels the compulsion to read the whole. The reader won’t be having much time so alert him by your words, don’t let him go! You would have very little time to sway the reader.
  • Your summary should not have paragraphs or wording copied from your report. This would waste your time as well and the length of the report would be increased too.
  • Use proper paragraphs to cut the information into short-sized paragraphs. Well, the summary is all about managing the paragraphs so managing the paragraphs is very vital. Divide the page into two or three paragraphs of equal or different lengths. The colors make your summary use colors for your company name and logo which would give a colorful look to your summary. The graphics help your summary to tell the story visually.
  • Make sure that you have concluded the summary and placed your recommendations. If not then reconsider your summary and do that. Otherwise, this could lead to an incomplete summary.
  • If the company has not placed its address at the end, then where the investor or the new business partner would contact, the contact information is important to write.
